Invoices and VAT
Payments are processed by Stripe. Frontmail never sees or stores your full card number.
Invoices
Section titled “Invoices”Every payment gets an invoice – subscriptions, renewals, upgrades (prorated), credit packs, auto top-ups and overdraft usage (added to the renewal invoice). Owners, admins and billing members find all invoices in Billing → Invoices with their number, total and status; View opens the invoice with a PDF download. Invoices are also available in the Stripe customer portal (Billing → Plan → Manage cards & invoices), where you manage your saved cards too.
Billing details
Section titled “Billing details”Owners and billing members set the company name, country, VAT ID and address in Billing → Billing details; the address and VAT ID can also be entered in Stripe Checkout. The billing country chosen when creating the organization determines the currency (EU → EUR, others → USD). The currency can only change until the first payment – after that, changing the country updates your details and tax treatment, but not the currency. Changes apply to future invoices.
Taxes are calculated by Stripe Tax based on your billing address:
- EU consumers and businesses without a VAT ID pay VAT at the rate of their country.
- EU businesses with a valid VAT ID (outside the seller’s country) are invoiced without VAT under the reverse-charge mechanism – the invoice says so, and you account for VAT yourself. Enter the VAT ID in Checkout or Billing → Billing details; Stripe validates it with the EU VIES service.
- Businesses in the seller’s own country always pay local VAT.
- Customers outside the EU are invoiced according to the local rules Stripe Tax applies (often without VAT).
Prices on the pricing page and in this documentation exclude VAT.
Failed payments
Section titled “Failed payments”If a renewal payment fails, the owner, admins and billing members get an email with a link to update the card (repeated on day 3 and 6), and the dashboard shows a Your last payment failed banner with an Update card button. Stripe retries the payment automatically. Your plan keeps working during a 7-day grace period; after that the Free limits apply until the payment succeeds. If the payment still fails after Stripe’s retries, the subscription is cancelled and the organization moves to the Free plan. Credit packs you bought stay valid.
